Job Description

Description We are looking for an experienced Accounting and Payroll Specialist to join our team in Davenport, Iowa. In this role, you will be responsible for ensuring the accuracy and compliance of accounting operations while managing payroll processes across multiple states. This position requires someone with strong attention to detail who can effectively collaborate with various departments to maintain financial integrity and support organizational goals. Responsibilities: - Set up and maintain accurate customer and vendor records, including verification of forms and credit checks. - Update existing records to ensure they reflect current information and required documentation. - Review new customer orders for proper tax status, exemption certificates, and payment details to support accounts receivable processes. - Upload tax exemption certificates in Avalara and enter credit card data into PayTrace systems. - Provide backup support to the Accounts Receivable Accountant during absences by handling invoicing, processing payments, and credit card transactions. - Reconcile vendor statements and resolve discrepancies in coordination with the accounts payable team. - Process and code fleet management invoices on a weekly and monthly basis. - Prepare and execute bi-weekly and semi-monthly payroll for multiple company codes using Paylocity, ensuring compliance with wage and hour laws. - Validate timekeeping data, including hours worked, benefits, deductions, and other special earnings, to ensure accurate payroll processing. - Collaborate with HR to maintain accurate employee data and process new hires, terminations, and benefits deductions. Requirements - Associate's or Bachelor's degree in Accounting, Finance, or a related field is preferred. - Minimum of 3 years of experience in payroll processing, including multistate payroll. - Proficiency in full-cycle payroll and managing payroll for 101-500 employees. - Familiarity with payroll systems, particularly Paylocity. - Strong knowledge of accounts payable and accounts receivable processes. - Understanding of federal, state, and local payroll regulations, including tax payments and reporting requirements. - Excellent attention to detail and ability to maintain confidentiality. - Effective communication and collaboration skills to work with internal teams and external vendors.
