Job Summary:

We are seeking a detail-oriented and highly organized Body Shop Office Manager to oversee the daily administrative operations of our auto body repair shop. The ideal candidate will reconcile accounts, assist with payment processing and invoicing, handle customer service interactions, coordinate with insurance companies, and ensure accurate and timely record-keeping.

Requirements

Key Responsibilities:

  • Oversee front office operations, including scheduling, billing, customer service, and insurance coordination.
  • Serve as the primary point of contact for customers, providing updates and managing expectations.
  • Maintain accurate records for repairs, parts, labor, and customer communications.
  • Process repair orders, estimates, and invoices using body shop management software.
  • Coordinate with insurance companies for claims processing and approvals.
  • Reconcile accounts and assist with payment processing and collections.
  • Manage office staff, including receptionists and administrative assistants.
  • Ensure compliance with company policies, OSHA standards, and local regulations.
  • Order office supplies and maintain inventory control.
  • Support overall shop efficiency by facilitating clear communication between technicians and the front office.

Qualifications

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration or a related field preferred.
  • Minimum of 3 years’ experience in office management or customer service, preferably in an automotive or body shop setting.
  • Working knowledge of collision repair processes and insurance procedures.
  • Proficiency in Microsoft Office and body shop management software (e.g., CCC One, Mitchell, Audatex).
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to multitask and thrive in a fast-paced environment.
  • Professional demeanor and a strong customer-service orientation.
