Job Description

Are you a detail-oriented professional with a passion for organization, logistics, and customer service? Warren Wilson College is looking for a Mail and Print Services Manager to lead the daily operations of our campus mailroom and copy center. This role is essential to ensuring the smooth and timely delivery of mail and packages across campus, as well as supporting departments with high-quality print services. 

The Manager is responsible for overseeing the sorting and distribution of incoming and outgoing mail from various carriers, ensuring accurate delivery to campus post office boxes. In addition to managing mail operations, this position leads the campus copy center, handling small print jobs and document reproduction for departments using high-speed, high-capacity equipment.

This is a hands-on role that requires strong organizational skills, attention to detail, and a commitment to excellent customer service. The Mail and Print Services Manager works closely with students, faculty, and staff, and is responsible for supervising and mentoring student employees in both the mailroom and print shop. Setting clear expectations and holding student workers accountable is a key part of this leadership role.

Minimum Qualifications

  • Bachelor's degree OR extensive work experience in the field will be considered in lieu of a degree on a year by year basis.
  • Two years experience demonstrating strong, solid customer service skills.
  • Demonstrated computer skills, verbal and written communication skills. 
  • Two years of supervisor experience.
  • Evidence of prior experience working in a mailroom processing mail and packages or similar role.
  • Evidence of prior experience working with high performance copy machines and printers.
  • Have a current, valid driver's license and be able to drive campus vehicles.
  • Demonstrated ability to work effectively with people from a diverse range of identities and experiences.

Preferred Qualifications

  • One to two years experience working at an institution of higher education.
  • Two or more years of experience managing a mailroom, processing mail and packages in a similar role.

Key Responsibilities

Mailroom and Printshop Management

  • Manages the mailroom to ensure that mail is properly sorted and distributed daily, Monday-Friday.
  • Responsible for ensuring accurate sorting and distributing mail in the mailroom as needed. 
  • Provide efficient and courteous customer service, assisting students, staff, and faculty with mail related inquiries, ensuring timely and accurate delivery of mail and packages.
  • Records and logs information concerning incoming and outgoing mail and packages.
  • Inform campus community of hours, services, expectations and schedule changes in a timely fashion through campus-wide email and myWWC information page.
  • Investigate and resolve issues related to lost, delayed or misdirected mail. Respond to complaints in a timely and respectful manner.
  • Develop and maintain productive working relationships with postal, courier and vendor services, collaborate with external stakeholders around delivery or service issues to ensure timely delivery and resolution of any problems. 
  • Responsible for the issuance and maintenance of all ID's - students, faculty and staff.
  • Responsible for keeping current Campus Post Office (CPO) box assignments for students, faculty and staff.
  • Maintenance and development of the Mailroom and Copy Center Standard Operating Procedures (SOP).
  • Manages and oversees the day-to-day operations of the campus print center.
  • Processes copy and print requests as submitted. Provides various copy and printing functions, including departmental charges of black and white copies, color copies, lamination, and graphic arts printing.
  • Troubleshoots all equipment including clearing copier paper jams, changing ink cartridges and toner, and occasionally communicating technical issues to copier technical support.
  • Oversees the delivery of cases of paper to departments as requested. 
  • Assists with budget management as directed, working with the Executive Director of Operations, Facilities and Sustainability or designee related to purchasing as necessary.

Student Crew Supervision

  • Educate and train the crew about the Mailroom and Print Shop processes and procedures so they can perform the tasks associated with mailroom functions and are able to speak knowledgeably about procedures and services provided, including equipment use and general process and procedures. 
  • Guide students through the learning and performance goals and evaluations process in a timely manner, mentor students to support their professional and educational development.
  • Attends WPO supervisor orientation and other training as available.
  • Assist the Work Program Office (WPO) with recruitment and orientation of the Mailroom Crew.
  • Coordinate, communicate and monitor student work schedules, approve student time cards by payroll schedule deadlines, and plan for and delegate appropriate tasks.
  • Collaborate with the staff of the WPO to solve any student crew issues that may arise.
  • Maintain and develop crew training materials and equipment training.

Other duties as assigned.
