Job Description
Position Summary The Payroll Specialist manages end-to-end payroll for a multistate, manufacturing environment while ensuring strict compliance with federal, state, and local regulations. This role oversees complex payroll reporting, HRIS payroll processing, overtime and shift differential calculations, temporary labor invoicing, and audit readiness.
Key Responsibilities - Payroll Processing & Administration
- Process accurate and timely payroll using an HRIS/payroll system (Paychex, ADP, UKG, Paycom, etc.).
- Validate timecards, overtime, shift differentials, weekend premiums, and job codes for 24/7 operations.
- Ensure correct daily/weekly overtime, double-time and blended rate calculations.
- Maintain employee records, wage changes, new hires, and terminations.
- Reconcile payroll batches, taxes, and deductions.
Payroll & Compliance - Prepare and submit payroll reports.
- Ensure compliance with prevailing wage laws, wage determinations, and fringe requirements.
- Maintain audit ready documentation and respond to agency or contractor inquiries.
- Monitor changes to payroll tax laws, overtime rules, and wage regulations.
Multistate Payroll Expertise - Process payroll across multiple states including multistate tax rules and jurisdiction setup.
- Ensure accurate SUI, workers' compensation classes, and tax assignments.
- Troubleshoot and resolve payroll discrepancies.
Temporary Workforce & Vendor Management - Review and verify temp staffing invoices against timekeeping records and contracted bill rates.
- Reconcile and submit temp labor invoices for approval and payment.
- Track temp labor usage and costs.
Systems, Reporting & Audits - Generate payroll, labor, and compliance reports for HR, Finance, and Operations.
- Support quarterly/annual payroll tax filings and yearend processing.
- Prepare documentation for internal and external audits.
Qualifications Required
- 3–5+ years payroll experience
- Multistate payroll experience in a high-volume 24/7 environment.
- Strong knowledge of overtime rules, shift differentials, and multishift operations.
- HRIS payroll processing experience (Paychex, ADP, UKG, Paycom, etc.).
- Manufacturing or construction industry experience.
- Experience reviewing temp labor invoices.
- Strong understanding of federal/state wage and tax laws.
- Proficient in Excel (pivot tables, VLOOKUP).
- High accuracy, confidentiality, and attention to detail.
Preferred - CPP or FPC certification.
- Bachelor’s Degree in in Finance, Business Administration, minimum Associates Degree
